Automation project handover documents are the specifications, test records and manuals that let a client accept, operate and maintain a control system after the integrator leaves. On a typical UAE job that means around seventeen documents, from the user requirement specification to the O&M manual, and LADX Documents drafts all of them from the project data rather than from blank templates.
Documentation is often written last, under pressure, and goes out of date the moment someone edits a rung. This guide sets out what UAE clients and consultants usually expect, which standards shape the test documents, and how to keep the paperwork in step with the code.
Automation project handover documents a UAE client will expect
The exact list comes from the contract, but most packages for a plant upgrade, a utility skid or a building services control system cover the same ground. The table groups them by the phase that produces them.
| Phase | Documents | Who reads them |
|---|---|---|
| Specification | URS, functional design specification (FDS), control narrative | Client, consultant |
| Design | Software design specification, I/O list, bill of materials, cable schedule | Integrator, panel builder, installer |
| Safety and alarms | Cause and effect matrix, alarm and trip schedule, alarm rationalisation record, risk assessment | Process safety, operations |
| Testing | FAT procedure and record, commissioning checklist, SAT procedure and record | Client, consultant, integrator |
| Handover | Handover certificate, O&M manual, change control record | Operations, maintenance |
Two habits help. Agree the document list and formats at kick-off, not at practical completion. And give every document a number and revision from day one, because a consultant who receives "FDS final v3 revised" will send it back.
The standards behind the test documents
For process automation, IEC 62381:2024 describes the factory acceptance test (FAT), site acceptance test (SAT) and site integration test (SIT), and the 2024 edition adds an optional factory integration test. Its annexes include activity checklists that make a sound starting point for project-specific procedures. If your client's specification calls for it, write the FAT and SAT procedures against its structure from the start.
Buildings in Abu Dhabi add another layer. A 2011 note from the CIBSE Energy Performance Group explains that the Estidama Pearl Rating System made the appointment of an independent commissioning consultant a mandatory credit, so that projects can be commissioned, are commissioned and are handed over. In practice that consultant will review your test records and O&M manual line by line.

Watch on YouTubeHow LADX Documents fills the first draft
LADX Documents holds seventeen working templates across specification, design, registers, safety, testing and handover, with tables and sign-off blocks already laid out. They fill from the project: the client name, site, document number and tag list arrive correct rather than being typed a second time (LADX).
- The I/O list comes from the tags. Rename a tag in the program and the next regeneration carries the new name.
- The control narrative comes from the rungs and their comments, which is a good reason to write proper rung comments.
- The letterhead comes from the project and the client, so a document never goes out with last month's client on the cover.
- Output is Word and PDF, laid out for people outside engineering rather than exported as a data dump.

The templates sit inside LADX Projects, where design basis, drawings, programs and documents share one project and its lifecycle phases run from requirements through factory test and commissioning to handover and support. Design questions answered once at the start flow into every document.
What it does not do
LADX is direct about this. Generated documents need reviewing: they are a first draft that is right about the facts, not a finished submission. The templates follow common practice, not any one client's house standard, so expect to adapt sections for an ADNOC operating company, a utility or a consultant with its own formats. Change tracking between regenerations is planned but not there today, so keep your own revision log.
A realistic timeline for the document pack
Most late handovers we see are not caused by missing engineering. They are caused by documents that were started in the last fortnight. A simple rule helps: every document has an owner and a trigger, and it is drafted when the trigger happens, not when the client asks for it.
- At kick-off: agree the document list, numbering, formats and who signs each one. Issue the URS for comment if the client has not written one.
- After the design review: issue the FDS and control narrative, then the I/O list, cable schedule and bill of materials so the panel builder can start.
- Before code is frozen: finish the cause and effect matrix and the alarm and trip schedule, and rationalise alarms with operations.
- Two weeks before FAT: issue the FAT procedure for approval, so the test day is spent testing rather than arguing about the procedure.
- After FAT: regenerate the I/O list and narrative from the final code, update the SAT procedure and log every change through change control.
- At handover: issue the O&M manual, program backups, the signed SAT record and the handover certificate with the open punch list.
Generating drafts from the project is what makes this timeline realistic for a small team. When the I/O list and narrative regenerate in minutes, there is no reason to leave them until the end.
Making handover easier on your next project
The best handover packs are built during the job. Test the logic in simulation early, as described in our guide to virtual commissioning in the UAE, and the FAT record almost writes itself. On upgrades, the documents for the old system are often missing, which is one of the first problems we deal with in PLC and SCADA modernisation.
Next step: the LADX templates can be downloaded free, without an account, from ladx.ai. If you want Wartens to deliver the control system and its full document pack for a UAE plant, see automation engineering or send your specification through contact.
