2. What we collect and why

Visiting the website

When you load a page, our server records technical information: your IP address, the date and time, the page requested, your browser and operating system, and the referring page. We use it to deliver the website, keep it secure and investigate misuse. Our lawful basis is our legitimate interest in running a secure website. Server logs are deleted automatically after 14 days unless we need them to investigate a specific security incident.

Choosing your country site

To show you the right country site, our server looks up the country associated with your IP address using a database stored on our own server. The IP address is not sent to anyone else for this, and the result is not stored. If you choose a country or language yourself, we remember that choice in a cookie (see our Cookie Policy). Lawful basis: legitimate interest in showing relevant content.

Enquiries

If you use our contact form, email or call us, we process your name, email address, phone number (if given), company and the content of your message, so that we can reply and, where relevant, prepare a quote or proposal. Lawful basis: steps at your request before entering into a contract, or our legitimate interest in responding to business enquiries.

Job applications

If you apply for a role, we process your CV and the information you send us to assess your application. Lawful basis: steps at your request before entering into an employment contract.

Customers and suppliers

We process business contact details of people at our customers, partners and suppliers to perform and manage our contracts. Lawful basis: contract and legitimate interest.

We do not use analytics, advertising or social-media tracking tools on this website, and we do not sell personal data.

Embedded videos

Some articles include YouTube videos. They load only after you allow external media in the cookie banner or click Play video. Google then receives your IP address and may set cookies; our lawful basis is your consent, which you can withdraw at any time under Cookie settings. See Google's privacy policy.

3. Who we share it with

  • Our hosting and email service providers, who process data for us under written contracts.
  • Other companies in the Wartens group (in Germany, the United Arab Emirates, the United States and India) where your enquiry concerns their services.
  • Professional advisers, insurers and auditors where necessary.
  • Authorities, where we are legally required to.

4. International transfers

Where personal data is transferred outside the UK, we rely on UK adequacy regulations or use the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for details of the safeguards we use.

5. How long we keep it

  • Server logs: up to 14 days.
  • Enquiries: for as long as needed to respond and to manage any resulting business relationship.
  • Unsuccessful job applications: up to 6 months after the recruitment decision, unless you agree to us keeping them longer.
  • Contract and accounting records: for as long as the law requires, normally 6 years.

6. Your rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to its use, and to data portability. Where we rely on consent you can withdraw it at any time. To exercise any right, email info@wartens.com. We will respond within one month.

7. Complaints
